These policies apply whenever you access the One Pass Adventure website, create a member account, book a pitch, register for an activity or use any One Pass Adventure facility or service.
In these policies, “One Pass Adventure,” “OPA,” “we,” “our” and “us” refer to One Pass Adventure. “User,” “member,” “customer,” “you” and “your” refer to anyone accessing our website or using our services.
By using this website or submitting a booking, you confirm that you have read and accepted these policies.
TERMS OF USE
2. Using Our Website You may use this website to: View our facilities, services, rates and activities. Register or sign in as a member. Complete and update your member profile. Check pitch availability. Submit and manage pitch bookings. Submit payment transaction information. Register a child for the OPA Soccer Academy. Contact One Pass Adventure. You agree to provide information that is accurate, current and complete. You must not: Use another person’s account without permission. Provide false personal or payment information. Submit a false, duplicated or previously used transaction ID. Attempt to interfere with the website or booking system. Attempt to reserve multiple conflicting slots unfairly. Use the website for unlawful, fraudulent or abusive activity. Copy or commercially exploit website content without written permission. We may restrict or suspend an account where we reasonably believe these policies have been violated. 3. Member Accounts Some services require a member account. You are responsible for: Keeping your sign-in information secure. Providing a working email address and telephone number. Completing all required profile information before booking. Keeping your profile information up to date. Informing us promptly if you believe your account has been accessed without permission. One Pass Adventure is not responsible for activity performed through an account where the user failed to protect their sign-in information. 4. Website Availability We aim to keep the website and booking system available and accurate. However, access may occasionally be interrupted by maintenance, internet failures, technical problems or circumstances outside our control. We may update, correct, suspend or change website features when necessary.
BOOKING AND PAYMENT POLICY
5. Booking Requirements To submit a pitch booking, you must: Create or sign in to your member account. Complete the required member profile information. Select the pitch size, booking date and available time. Choose a payment method. Enter a valid payment transaction ID. Submit the booking for review. All booking times are based on East Africa Time. 6. Pitch Options Available pitch options may include: 11-A-Side 7-A-Side 5-A-Side Day and night rates may differ. The applicable price will be displayed during the booking process. Rates may be updated from time to time. The rate displayed when the booking is submitted will apply to that booking unless an obvious technical or pricing error occurred. 7. Availability and Double-Booking Prevention The availability shown by the booking system is based on the bookings recorded at that time. Because the different pitch sizes may share the same physical playing area, a reservation for one pitch configuration may block conflicting reservations for other configurations during the same period. The system is designed to prevent overlapping bookings. Users must not attempt to bypass this protection by creating multiple accounts or submitting conflicting requests. 8. Booking Status Submitting a booking does not automatically mean that the booking has been approved. A booking may display one of the following statuses: Pending Approval Approved Cancelled Completed Refund Processing Refunded Flagged for Review A booking is confirmed only when its status shows Approved. Members can follow their booking status through Member Home. 9. Payment Methods The website provides separate payment options for: Airtel Money MTN Mobile Money Customers must use the payment instructions and account details displayed during the booking process. One Pass Adventure will never request your Mobile Money PIN through the website, telephone, email or WhatsApp. Never share your PIN with anyone. 10. Transaction IDs Every payment must have a genuine and unique transaction ID. The transaction ID entered must correspond to the payment made for that booking. A transaction ID that has already been used may be rejected automatically. Bookings containing false, invalid, duplicated or unverifiable payment details may be: Flagged for review. Rejected. Cancelled. Temporarily held while payment is investigated. Submitting false payment information may also result in restriction of the member account. 11. Payment Verification Payments may be reviewed before a booking is approved. If payment cannot be verified, One Pass Adventure may contact the member using the information provided in the member profile. Customers should retain their Mobile Money confirmation message until the booking has been completed and any payment-related issue has been resolved.
CANCELLATION AND REFUND POLICY
12. Customer Cancellation Window A customer may cancel an eligible booking only when: The booking is between 12 and 24 hours away; and The cancellation is not being made on the same calendar day as the booking. The self-service cancellation option therefore: Opens 24 hours before the scheduled booking time. Closes 12 hours before the scheduled booking time. Is unavailable for same-day bookings. Is unavailable when the booking is more than 24 hours away. Is unavailable when fewer than 12 hours remain. Members should use the cancellation option shown under the relevant booking in Member Home. 13. Same-Day Bookings A booking scheduled for the same calendar day cannot be cancelled by the customer. Customers should confirm their availability before completing a same-day booking. Failure to attend a same-day booking does not automatically qualify the customer for a refund or rescheduling. 14. Late Cancellations and Non-Attendance A cancellation request made outside the permitted window may be declined. Failure to arrive for an approved booking without an eligible cancellation may be treated as a no-show. Late arrival does not automatically extend the reserved booking time because another customer may have booked the following slot. 15. Refund Review Cancelling a booking does not automatically guarantee an immediate refund. Where a refund is applicable: The booking may first show Refund Processing. One Pass Adventure will verify the booking and payment. An approved refund will be processed using the appropriate payment arrangement. The member may be contacted if additional verification is required. The booking status will be updated when the refund has been processed. Any applicable refund amount and processing period will be communicated to the affected customer. 16. Changes or Cancellations by One Pass Adventure One Pass Adventure may occasionally need to delay, relocate, reschedule or cancel a booking because of: Unsafe weather or playing conditions. Facility damage or maintenance. Power or lighting failure. Safety or security concerns. Government restrictions. Events outside our reasonable control. Where this happens, we will make reasonable efforts to contact the affected customer and provide an appropriate rescheduling or refund arrangement.
FACILITY USE AND SAFETY
17. Arrival and Playing Time Customers should arrive early enough to prepare before their allocated time. The booking period includes the full time allocated to the customer. Late arrival will not normally result in additional playing time. Customers must leave the playing area promptly when their booking ends. 18. Conduct All visitors must: Treat staff, players and other visitors respectfully. Follow reasonable safety and facility instructions. Use the facilities and equipment responsibly. Avoid violent, abusive, discriminatory or disruptive conduct. Respect the property of One Pass Adventure and other visitors. Supervise children under their care. One Pass Adventure may remove or refuse service to anyone whose behaviour threatens safety, damages property or seriously disrupts other customers. 19. Personal Responsibility Sport and physical activity involve some risk of injury. Customers and participants are responsible for: Assessing whether they are medically and physically able to participate. Wearing suitable clothing and footwear. Following safety instructions. Using equipment correctly. Supervising children and dependants in their care. Informing staff of an immediate safety concern. Anyone with a medical condition should seek appropriate professional advice before participating in strenuous physical activity. 20. Personal Property Customers are responsible for their personal belongings. One Pass Adventure is not responsible for loss, theft or damage to personal property unless responsibility is established under applicable law. Any lost property handed to staff may be retained for a reasonable period before disposal. 21. Damage to Property A customer may be held responsible for damage caused deliberately, recklessly or through misuse of the facility or equipment by the customer or members of their group. ACADEMY AND CHILDREN’S ACTIVITIES 22. Parent or Guardian Responsibility A child’s academy registration must be completed or authorised by a parent or legal guardian. The parent or guardian is responsible for: Providing accurate information about the child. Providing current emergency contact details. Disclosing relevant health, allergy or support information. Informing One Pass Adventure when information changes. Following academy attendance, collection and safety procedures. 23. Images and Promotional Content Photographs or videos of children will only be used for promotional or communication purposes where the appropriate parent or guardian permission has been obtained. Any separate consent form provided during academy registration will apply alongside these policies.

24. Personal Information We Collect Depending on how you use our services, we may collect: Full name. Email address. Telephone or WhatsApp number. Member profile information. Club or team information. Club position or role. Booking dates, times and pitch selections. Payment method and transaction ID. Booking, cancellation and refund history. Messages and enquiries sent to us. Academy registration information. Parent, guardian and emergency-contact details. Technical information such as browser, device and website-usage data. We do not ask customers to provide their Mobile Money PIN. 25. Why We Collect Information We may use personal information to: Create and manage member accounts. Complete and verify member profiles. Process, approve and manage bookings. Prevent overlapping or fraudulent bookings. Verify payment transaction information. Process cancellations and refunds. Contact customers about their bookings. Manage academy registrations and participation. Respond to questions and support requests. Maintain the security and reliability of the website. Improve our facilities, services and customer experience. Comply with legal and regulatory obligations. 26. Children’s Information Children’s information may be collected for academy registration, participation, safety and emergency-contact purposes. This information should be submitted by, or with the knowledge and permission of, a parent or legal guardian. We will not knowingly use a child’s personal information for unrelated marketing without the appropriate permission. 27. How We Share Information We do not sell customers’ personal information. Information may be shared only where reasonably necessary with: Authorised One Pass Adventure staff. Website, hosting and technology service providers. Payment verification or communication service providers. Professional advisers. Government, regulatory or law-enforcement authorities where legally required. Service providers should only process information for the service they are providing and subject to appropriate confidentiality and security responsibilities. 28. Information Security We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, alteration, misuse or disclosure. However, no website, database or internet transmission can be guaranteed to be completely secure. Users should protect their account access and notify us of suspicious activity. 29. Any dispute that cannot be resolved directly with One Pass Adventure will be handled through the appropriate processes and institutions provided under Ugandan law.
